Introduction
JustRecruitment module is designed to help to track and manage your hiring process from posting jobs to scheduling interview and managing applications. This guide will show you how to set up job postings and manage large amounts of applications through the various interview steps and processes as an administrator.
Job Openings
Create Job Opening Details
Step 1. Go to .
Step 2. Click on which will bring you to the Job Openings Listing Page.
Step 3. Click on .
This brings you to the first part of creating the details of the job opening. You can track which step of creation you are at from the progress bar.
Step 4. Enter the details of the Job Opening.
- Job Title: The name of the job or position. Eg. Human Resource Executive
- Location: The geographic location of the job position
- Job Description: The details of the tasks, duties, function, and responsibilities. Take note that there is a 500-character limit.
- Number of Positions: The number applicants to be hired
- Skill Set: Range of skills or abilities relevant to the position
- Experience (Year): Number of years for experience required
- Annual Salary: Salary range of the job position
- Company Industry: Primary Business activity of the hiring company
- Job Type: Nature of the job position
- Education: Education Qualifications required
- Document Upload: If there are any Documents to share
Step 5. Once the details are completed, to save and continue later, click on or if you would like to continue to the next part of creating a job position, click on

Update Hiring Stages
The second part of creating job openings, is to add the various hiring stages.
Step 1. To add a hiring stage, click on .
Step 2. Select the type of stage.
A. Plain Stage could include any internal process such as the pre-screening stage of selecting or shortlisting candidates before the interview.
B. Interview Stage would be when the interviewer meets with the Job candidate. You may select which users will be interviewing the candidate, the interview mode and duration.
C. Review Stage would be a record of how the interview went, reviewed by those who interviewed the candidate. You may set up an evaluation form for the reviewers by clicking on ‘Set up Evaluation Form’
Click on to create a rating scale for your desired attribute/quality.

Step 3. Once the stages are added, to save and continue later, click on r if you would like to continue to the next part of creating a job position, click on

Update Questions for Applicant Experience
Step 1. update the questions that you would like the Job Applicants to fill up.
If you would like to include the default fields, tick the box next to the field and if you would like to make it mandatory, ensure the bar is enabled in green.
Step 2. Add your own custom questions.
Step 3. Once the questions have been completed you may click on to preview what applicants would see and be required to complete.
Step 4. Once the details are completed, to save and continue later, click on or if you would like to continue to the next part of creating a job position, click on
.
Step 5. Clicking on Publish will show you a popup window. You may choose to broadcast your job listing externally or internally in your account.
Step 6. Click to confirm selection.
Job Settings
Assign new or additional users on the Job opening
Step 1. Go to .
Step 2. Click on .
Step 3. Click on the Eye Icon under Actions for the relevant Job opening you would like to view.
Step 4. Click on the 5 th tab ‘Job Settings’. This will bring you to the ‘Users on this page’ Tab.
On the ‘Users on This Opening’ tab, you will see all the employees that are involved with the job opening. If you would like to assign any other employees, click on .
Step 5. On the pop-up window that appears, select which user you would like to include from the dropdown menu. If you would like to add that as an admin for the job opening, you may also tick the box next to ‘Add as Job Admin’ option. Then click to confirm.
Removing an Assigned User
Step 1. To remove any users on a job opening, go to ‘Users on This Opening’ tab.
Step 2. Click on the on the trash icon next to the user you would like to remove.
Step 3. Select who will be taking over the role instead by clicking on the dropdown menu.
Step 4. Click on to confirm.
Auto Response Email
Step 1. To Set up an auto acknowledgment email for the job opening, go to the Auto Response Email Tab.
Step 2. Click on .
Step 3. Enter the contents of the auto-acknowledgement Email.
Step 4. Click to confirm changes.
Comments/Logs
Comments/Logs allow you to add any remarks, notes or past actions on the specific job opening.
Step 1. Go to .
Step 2. Click on .
Step 3. Click on the Eye Icon under Actions for the relevant Job opening you would like to view.
Step 4. Click on the last tab ‘Comments/Logs’
Step 5: Log any comments you would like to make for the job opening from the text box on the bottom of the page and click on the icon to enter.
You will also be able to see the audit history of all the past actions done for this job opening under the option ‘History log’
Candidates
View and Manage All Candidates for Across Openings
Step 1. Go to .
Step 2. Click on .
This brings you to the list of all accessible candidates.
Step 3. To update any labels, ratings, send the candidate an email or move to another hiring stage, tick on the box next to the candidate’s name, then select the relevant action.
• Labels – Add any type of labels to help you identify or categorize your candidates
• Write Email – Compose and send the candidate an email
• Relevance Rating – Set a rating for the candidate at any hiring stage or update the rating at different stages
• Move to Stage – Update the hiring stage of the candidate if they have moved to the next stage
• More – Switch the employee to another job opening or delete the candidate
View Individual Candidate Details and Schedule Interview
Click on the candidate’s name to view the details of the individual.
This brings you to the candidates’ details where you can view and download their profile and their Resume, Schedule interviews or move them to the next stage, move to another opening, reject the candidate, add any comments or feedback.
Add a New Candidate
Step 1. Go to .
Step 2. Click on .
Step 3. Click on on the top right-hand corner of the page.
Step 4. Select if you would like to or
for adding one candidate or multiple candidates respectively.
Step 5. For Single Candidate Upload, fill in all required fields on the candidate’s details.
Step 6. Click to confirm creation.
Upon successful creation, the new candidate will be reflected in your candidate list.
