The Tax Opening Balance is optional and is intended for companies that have just started using JustLogin but do not wish to backdate and reprocess payroll for previous months. Entering it correctly ensures accurate PCB (income tax) computation throughout the year.
When is this needed? If you begin processing payroll in JustLogin part-way through a calendar year (e.g., starting from September), you must enter the cumulative payroll figures for all preceding months (January to August) as the opening balance so that PCB calculations for the remaining months are correct. |
There are two ways to enter the Tax Opening Balance:
- Option 1: Manually enter the opening balance for each employee directly in the system.
- Option 2: Download a CSV template, fill it in, and import it in bulk.
Option 1: Manually Enter Tax Opening Balance per Employee
Step 1 β Navigate to Opening Balance Setup

Then click the tab and proceed to the
page.
Step 2 β Load All Employees
In the Employees dropdown, choose Select All. The year will default to the current year. Click Go to load the list.
Step 3 β Enter Opening Balance Amounts
The page will reload showing the first employee. Enter the cumulative amounts for each pay element from January through to the last month before you begin live payroll processing in JustLogin.
Example: If you plan to start processing payroll in JustLogin from September onwards, enter opening balances for January through August. |
To move to the next employee, click the arrow button, or click the employee name to open the dropdown list and select another employee.
Step 4 β Add Additional Pay Elements (if required)
By default, only basic pay elements are shown. To include items such as commission, meal allowance, bonus, loan deductions, or no-pay leave, click the + Add More link.
A pop-up will appear. Select the applicable pay elements from the Allowances and Deductions categories.
β οΈ Important: Scroll down in the pop-up to find the Employer Contributions section. Make sure to select all relevant employer contributions such as Employer EPF and Employer SOCSO. Missing these will affect statutory reporting accuracy. |
Once you have selected all required pay elements, click the button to add them to the opening balance entry form.
Step 5 β Verify and Save
You will return to the opening balance entry screen. Double-check that all amounts are entered correctly for each applicable month and pay element.
When done for the current employee, click the green button to save the record and move on to the next employee.
Step 6 β Complete All Employees and Verify
Repeat the above steps until all employees have been completed. To verify your entries, review each employee record again or generate Report #10 β Payroll Yearly by Employee:

Option 2: Import Tax Opening Balance via CSV Template
If you have many employees, importing via a CSV template is faster and less error-prone than manual entry.
Step 1 β Download the Template
On the Opening Balance page, click the button.
Step 2 β Select Year and Employees
You will be redirected to a setup page. Select the relevant year and the employees whose opening balance you want to include in the template.
Step 3 β Select Pay Elements
Add the pay elements you need by dragging them from the left (Available Pay Elements) panel and dropping them into the right (Selected Pay Elements) panel.
π Reminder: Make sure to include all applicable Allowances, Deductions, and Employer Contributions (e.g., Employer EPF, Employer SOCSO). To access different categories, click the section heading and drag elements across. |
To remove a pay element from the selected list, drag it back from the right panel to the left panel.
Step 4 β Include Employer Contributions
Before exporting, scroll down to confirm that all Employer Contributions have been added to the selected panel.
Step 5 β Export the Template
Click the button. The page will process and automatically download a CSV file to your computer.
Step 6 β Fill In the CSV File
Open the downloaded CSV file and enter the correct cumulative amount for each pay element and each applicable month. Ensure figures are accurate before saving the file.
Tip: Only enter amounts in the months that apply. Leave cells blank (not zero) for months with no relevant data, unless a zero value is specifically required for a pay element. |
Step 7 β Upload the Completed File
Return to the Opening Balance page and click the button.
Step 8 β Upload the File
On the upload page, drag and drop your completed CSV file into the upload area, or click the area to browse and select the file. Ensure you select the correct file before proceeding.
Step 9 β Confirm the Upload
Click the button. The page will reload while the file is processed.
- If the upload fails: An error message will appear. Click the link to download the error file, which will detail the specific rows or fields that need to be corrected.
Correct the issues in your CSV file and re-upload the updated version. - If the upload succeeds: A success confirmation message will be displayed.
Step 10 β Verify the Imported Data
Click the button to review the uploaded records employee by employee, or verify by generating Report #10 β Payroll Yearly by Employee:
