When an employee resigns or is terminated, JustLogin prorates their benefit entitlements based on a specific field in their employment record. Understanding which field to use — and how edits to it behave — helps you manage leaver entitlements accurately and avoid unexpected balance changes.
Which field drives benefit proration?
The field that controls benefit proration for leavers is Cessation Date. You can find it on the employee's People record under Employment > Other Information.
Several other leaving-related fields exist in JustLogin but are not used by the benefits proration engine:

How changes to Cessation Date take effect
Benefit entitlements are recalculated live on every request — the prorated figure is never stored permanently. This means any edit to Cessation Date takes effect immediately the next time a balance is loaded, whether that is a balance view, an employee listing, or a claim approval screen.

Risk: adding a Cessation Date after claims have already been approved
Because entitlements recalculate live, the most sensitive scenario is setting or backdating a Cessation Date after an employee has already made benefit claims. When the date is added, the prorated entitlement drops immediately. If the employee's approved claims exceed the newly prorated figure, their available balance will go negative with no warning or automatic re-check of prior approvals.
Important Note — Before adding or backdating a Cessation Date, review the employee's existing approved claims. If total approved claims already exceed the prorated entitlement that would result, you may need to manually adjust or reverse claims before saving the date change. |
What to do if a leaver's entitlement still shows as full after termination
If a terminated employee's benefit balance is still displaying their full annual entitlement, check the following:
- Verify the Cessation Date is populated. Go to the employee's People record > Employment > Other Information and confirm that the Cessation Date field is filled in with the correct date.
- Check the date value itself. A blank field means the proration engine has no leaving date to work with and will continue to grant the full entitlement until a date is entered.
- Confirm the date falls within the correct leave year. A Cessation Date set in a future year will not affect the current year's balance.
