Benefit Administration Guide

The Benefit Administration section allows you to control which employees are entitled to benefits, make manual adjustments to their benefit entitlements, and bulk-import benefit records. This article walks you through each of these tasks.

Managing Benefit Users

Benefit Users is where you define which employees are eligible to receive and submit benefit claims.

  1. Review the employee list and ensure that a tick (checkbox) is selected next to each employee who should be entitled to and able to apply for benefits.
  2. Save your changes by clicking the Save button to confirm.

Benefit Adjustments

Use the Adjustments feature to manually modify a benefit entitlement for one or more employees.

  1. Go to Benefit > Administration > Adjustments.
  2. Complete the following fields for the adjustment:
    • For Year – Select the year the adjustment applies to.
    • Benefit Category – Select the relevant benefit category.
    • Employees – Select the employee or employees this adjustment is for.
    • Amount – Enter the value of the adjustment.
    • Effectivity Date – Choose the date the adjustment takes effect.
    • Remarks – Optionally, add any additional comments or context for this adjustment.
  3. Click the Save button to confirm and submit the adjustment.
  4. To review past adjustments, navigate to the History tab, where all successfully saved adjustments are recorded.

Importing Benefit Records

If you need to add multiple claims or categories at once, use the Import Benefit Records feature to upload them in bulk rather than entering them individually.

  1. Go to Benefit > Administration > Import Benefit Records.
  2. Select the appropriate tab depending on what you want to import:
    • Claims – to import individual benefit claims.
    • Categories – to import benefit categories.
  3. Click Download Template to get the required import file.
  4. Fill in your data in the downloaded template, then save the file to your computer.
  5. Upload the completed file by dragging it into the Upload File area (the dotted box on the page).
  6. Click Import to add the records into the system.

Tip: Make sure your data follows the format provided in the downloaded template. Uploading a file with incorrect formatting may cause the import to fail.
