How to Submit and Approve Self KPI in Appraisals

The Self KPI feature lets you suggest the KPI questions you would like to be evaluated on within your appraisal form. Once you submit your suggestions, your manager reviews them and either approves or rejects each one. Approved questions are added directly to your appraisal form and used for scoring.

How the Self KPI Process Works

  1. Employee submits KPI questions β€” You propose questions within the categories set by your administrator.
  2. Manager reviews β€” Your manager approves or rejects the proposed questions.
  3. KPIs added to appraisal β€” Approved questions become part of your appraisal form and contribute to your score.

Part 1: Submitting Your Self KPI

Follow the steps below if you have been assigned the task to submit your own KPI questions.

  1. Go to the Appraisal module. Navigate to Appraisal > My Dashboard.
  2. Open the To-Do tab. Locate the task assigned to you for submitting your KPI.
  3. Click Submit KPI. Under the Actions column, click Submit KPI to open the appraisal form.
  4. Select a category and add a question. The form displays the categories where you are permitted to submit questions. Click Add Questions to begin creating a KPI question.
  5. Enter the Question Title. Type a title for your KPI question. Make sure it is relevant to your role or responsibilities and fits within the selected category.
  6. Add a Description and Tooltip. Enter a Description to provide more context for the question. You can also add a Tooltip to offer additional guidance to whoever completes the appraisal. Both fields are optional.
  7. Select the Answer Type. Choose the appropriate answer format from the Answer Type dropdown.
  8. Enable additional options if needed. Select Allow Comment and/or Allow Attachment if you want reviewers to be able to add comments or attach supporting files to their response.
  9. Save the question. Click Save. A confirmation message β€” "Success, question added successfully." β€” will appear, and your question will be listed under the selected category.
  10. Manage your questions. Three icons appear beside each saved question:

    • Pencil icon β€” Edit the question.
    • Trash bin icon β€” Delete the question.
    • Star toggle β€” Mark the question as mandatory.

    You can add as many questions as needed across all available categories. Click Preview Form at any time to see how your questions will appear in the final appraisal form.

  11. Submit your KPI. When you are satisfied with your questions, click the blue Submit button at the bottom of the page. A confirmation message β€” "Success, update successfully." β€” will appear, and you will be redirected to the To-Do page.
  12. Check the submission status. Your Self KPI task will now show a Pending status, and the action button will change to a green View button. Click View to review the questions you submitted. Your manager will be notified automatically that your Self KPI is ready for review.

Part 2: Reviewing and Approving a Self KPI (Managers)

If you are a manager or approving officer, follow the steps below to review and action a Self KPI submitted by a team member.

  1. Go to the Appraisal module. Navigate to Appraisal > My Dashboard.
  2. Open the To-Do tab. Look for the Approve KPI task showing a Pending status.
  3. Click Validate KPI. Under the Actions column, click the Validate KPI button to open the submitted Self KPI.
  4. Review the submitted questions. Check each question, including the selected answer type and any other configured settings. Use this information to decide whether to approve or reject the proposed KPI.
  5. Approve or reject the KPI.

    • To approve: Click the green Approve button.
    • To reject: Enter a reason for the rejection, then click Reject.
  6. Confirm the action. A confirmation message β€” "Updated successfully." β€” will appear. Approved KPI questions will be added to the employee's appraisal form and included in their appraisal scoring.

Tip Always provide a reason when rejecting a Self KPI. This helps the employee understand what needs to be revised before resubmitting.
