Setting Up Benefit Approving Officers

JustLogin allows you to configure approval workflows for Benefits at the Company Settings level. You can set up a single workflow that applies to all employees or create custom workflows for specific individuals β€” whatever suits your organization's needs.

Create a Benefit Approval Workflow

  1. Go to Company Settings.
  2. Navigate to Approvals > Benefit.
  3. Click Default Settings to get started.

  4. Enter a Workflow Name.
  5. Select the Approver for this workflow. The available approver types are:
    • Super Admin – The superuser on the account.
    • Manager – The employee's assigned supervisor (configured in User Admin).
    • Manager's Manager – The supervisor of the submitter's supervisor.
    • Specific User – Any user with Benefit access.

  6. Click Add Level if you need to add additional approval levels to the workflow.
  7. Select who should be notified after the final approval is granted.
  8. Click Apply to save the workflow, then choose how it should be applied:
  • Apply to all employees – Updates the workflow for all Benefit users. The Approver Settings column will display Default for each employee.
  • Apply to specific employees – Saves the workflow only for the selected employee(s). These employees will be assigned a Custom workflow.

    The Benefit Approval page will display the approver setting as "Default."

Change an Employee's Workflow from Default to Custom

  1. Locate the employee whose workflow you want to change and click the Edit (pencil) icon under the Action column.
  2. Click the Edit (pencil) icon next to the workflow name you want to assign.
  3. Select the desired approver(s) and configure the final approval notification setting if needed.
  4. Click Apply – Apply to this employee only to confirm.

Once saved, the employee's Approver Settings will update to show Custom, indicating they are no longer on the default workflow.

Note: Updating the default workflow will affect all employees currently assigned to it. Employees with a Custom workflow will not be impacted by changes to the default.
