Custom fields in Expense lets you display specific fields only when an employee selects a particular expense category. For example, you can require additional key details only for "Entertainment" claims, keeping the form clean and relevant for every category. This article explains how to create your custom fields and assign them to the right categories.

Step 1: Create Your Custom Fields
- Go to Settings >> Company Settings >> Custom Fields.
- Click the Expense tab.
- Click the Expense Claims section.
- Click the + Add Field button.
- Enter your preferred Field Label.
- If the field should be mandatory, enable the Required field toggle.
- Select the Type of Field:
- Text — employees manually type in the details.
- Drop — employees select an option from a dropdown list.
- Click Save.
- Repeat these steps for each additional custom field you need.

Step 2: Assign Custom Fields to Expense Categories
Once all your custom fields are created, link them to the relevant expense categories.
- Go to Expense >> Configuration >> Categories.
- Click the edit icon for the category you want to configure.
- Select the custom fields you want to display for this category.
- Click Save.
- Repeat for any other categories that require custom fields.
What Employees See When Submitting a Claim
When an employee submits an expense claim and selects a category that has custom fields assigned, those fields will automatically appear in the claim form. Only the fields relevant to the chosen category are shown, so employees see exactly what they need to fill in — nothing more.
