This article explains how to generate a bank file from the Payrun Dashboard. A bank file is an instruction file that tells your company's bank to transfer salaries from your company's bank account directly to your employees' accounts.
Important: Do not open, edit, or rename the downloaded bank file before uploading it to your bank. Opening the file (even in Excel) may cause automatic reformatting of fields such as account numbers or payment references, which can cause the upload to fail or result in incorrect transfers. |
Before You Begin
- Ensure the payrun has been finalised before generating the bank file.
- Have your company's bank account details on hand (account number, account name, and bank submission format).
- If you are unsure which bank submission format to use, check with your company's bank directly.
Step-by-Step Guide
Step 1: Navigate to the Payrun Dashboard
Click on to open the Payroll module.
Step 2: Open the Payrun
Click on to access your payrun.
Step 3: Initiate Bank File Generation
On the Payrun Dashboard, click the button as shown below.
Step 4: Enter Bank File Details
Fill in all required fields in the bank file generation form. Note that the fields displayed may vary depending on the bank selected.

| Bank Submission Format | Choose the correct file format required by your bank. Selecting the wrong format will cause the upload to fail. Check with your bank if unsure. |

| Generate Branch Code | Click this after entering the account number. Verify that the Branch Code and Branch Name are displayed correctly before proceeding. |
| Originating Account Name | Enter your company's account name as registered with the bank. |
| Effective Transfer Date | Enter the value date — the date on which salary transfers should take effect. |
| Message Sequence / Batch No. | The batch number for this submission. Applicable to specific banks only. |
| DBS IDEAL Login ID | Your DBS IDEAL login ID. Applicable to DBS bank only. |
| Month | Select the month for which you are generating this bank file. |
| Generate By | Choose whether to generate by Pay Period or Payrun Date. |
| Pay Period | Select the specific pay period to include in this bank file. |
| Employees Selected | Filter which employees are included in this bank file, if needed. |
Step 5: Preview the Bank File (Optional)
Click to review the details before generating. The system will display each employee's name, bank account number, and the transfer amount. This is recommended to catch any errors before submission.
Step 6: Generate the Bank File
Click to generate the bank file. A confirmation message will appear in the upper-right corner of the screen once the file has been successfully generated.
Step 7: Confirm the Generated File
Once completed, the generated bank file will appear in the list as shown below.
Step 8: Download the Bank File
Click to download the file.
Reminder: Do not rename the downloaded file. Do not open the file in any application (e.g., Excel) before uploading it to your bank portal. Opening the file may trigger automatic reformatting of account numbers, payment references, or other critical fields, which can corrupt the data. |

Log in to your company's bank portal and upload the downloaded bank file according to your bank's instructions.

What happens if I select the wrong bank submission format?
The bank will reject the file upload. Always confirm the correct format with your bank before generating the file.
Why should I not open the bank file after downloading?
Applications like Microsoft Excel may automatically reformat certain data fields (e.g., leading zeros in account numbers may be stripped, or numeric strings may be converted to scientific notation). This can corrupt critical payment details and cause the bank to reject the file or process incorrect transfers.
Can I include only selected employees in the bank file?
