How does lateness work in Attendance?


To define Lateness feature and how does it work in Attendance module. We have been seeing “lateness” within attendance and still unsure of how this affects the data.  Below are the details and explanations of how and when they are used.

Late Grace Period

This option allows the administrator to define a grace period if employee clocks in after their Standard Start Time.

  • If there is no grace period set, the employee will be considered as late once he/she clocks in after the Standard Start Time. The lateness reflected in reports will be based on the actual clock in time without the grace period.
  • If there is a grace period set, the system will check the clock in time against the grace period and the Standard Start Time. If an employee clocks in X minute after his/her Standard Start Time, but it is within the grace period, the employee is not considered late.

Please note: Lateness does not have any impact on the Attendance Record/Timesheet and will only be used for reporting purposes.

On the reports, except for Individual Attendance Report, the lateness grace period took effect and the total working hours are still at 8 hours for the 22nd of May. Based on the settings, the reports show the adjusted data, but no physical changes were done to the underlying data. 

Whereas on the Attendance Record and Individual Attendance Report, the system captured the raw data, and lateness of 10 minutes were deducted from the total working hours.

Lateness Rounding

This feature allows the administrator to set a rounding policy for lateness. Based on the rounding setting, the lateness hours will be rounded up or down accordingly. The rounded lateness will be the value reflected in reports.

Example: Work Time = 0900 – 1800; OT Policy = Standard Time

            Lateness Rounding Policy = Round UP to the nearest 5 minutes per day.

***If the employee clocks in at 0911 and clocks out at 1811, the lateness in the report should reflect as 0.25 (15 minutes) instead of 0.18 (11 minutes).  

Lateness – Multiple Clock in/out


This lateness under Multiple clocks in/out considers only the first clock in.

  • If the checkbox is unticked, the system will consider each set of clock-in time to determine the lateness. The lateness hours in the report will be based on the total lateness derived from each set of clock-ins.
  • If the checkbox is ticked, the system will only consider the first clock in time to determine the lateness. The lateness hours in the report will be based on the first clock in time. Any lateness for the second clock in time onwards will be ignored.
