Integrating Xero Accounting Software with JustLogin Payroll

You can integrate JustLogin's Payroll module with your Xero accounting software. This integration eliminates manual data entry, reduces the risk of duplicate or inaccurate records, and ensures that your financial data and employee pay details remain accurate and up to date.

Who can do this: The Payroll Administrator or Super Administrator can complete the integration by following the steps below.

Note: Certain employee deductions — such as self-help group contributions — are not included in the Xero integration.

Step-by-Step Setup Guide

Step 1: Open Payroll Settings

Navigate to the Payroll settings area in JustLogin.

Step 2: Go to Integrations

Click on the Integrations menu option.

Step 3: Enable the Xero Integration

Under the Xero section, toggle the slider to the On position to enable the integration.

Step 4: Connect to Xero

Click the "Connect to Xero" button to initiate the connection.

Step 5: Log In to Your Xero Account

A pop-up window will appear prompting you to log in to your Xero account. Enter your Xero credentials to proceed.

Step 6: Return to JustLogin and View Details

Once you have successfully logged in to Xero, you will be redirected back to the JustLogin page. Click "View Details" to continue the setup.

Step 7: Import Accounting Codes from Xero

For the initial setup, you must first import the available accounting (GL) codes from your Xero account. Click the import button to retrieve the codes, then click Next to proceed.

Step 8: Map Pay Elements to Xero GL Codes

Map each pay element in JustLogin to its corresponding accounting (GL) code in Xero.

Tip: You can map multiple pay elements to a single GL code. For example:
— Basic Pay, Advance Salary, and Overtime can all be mapped to Wages and Salaries.
— Meal Allowance, Transport Allowance, and Mobile Allowance can all be mapped to Fixed Allowances.

Step 9: Save the Mapping and Proceed

Once you have finished mapping all pay elements, click Save to store your configuration.

You are now ready to transfer payroll data to Xero. Click Next to move to the transfer step.

Step 10: Select the Payroll Period and Pay Elements to Transfer

Choose the payroll month you wish to transfer, and select the pay elements to include.

Important: You can only transfer pay elements from approved payruns.

Step 11: Transfer Payroll Data to Xero

Choose how you want to transfer your data:

  • Transfer selected button — Transfers only your selected pay elements.
  • Transfer all button — Transfers all pay elements displayed on the page.

Cost Centres: If you have set up cost centres in JustLogin, you can tick the cost centre option Include cost centres checkbox to include them in the transfer. For guidance on configuring cost centres, refer to: Configuration – General Cost Centre.

Viewing the Transfer in Xero

Once the payroll data has been successfully transferred, the generated bill can be viewed in Xero under Accounts >> Purchases.
