Hong Kong Payroll IR56F File Generation

This guide provides step-by-step instructions for generating the IR56F file in accordance with Hong Kong’s Inland Revenue Department (IRD) requirements. The IR56F form is used to report an employee’s cessation of employment, and accurate submission is crucial to ensure compliance with local tax regulations. Follow this guide to prepare and generate the IR56F file efficiently through the system.

Step 1: Log into your Admin account

Step 3: Navigate to Administration.jpg

Step 4: On the first tab Employee pay details.jpg, please click on the  actions.jpg  button and proceed to View details.jpgpage.

Step 5: Please make sure that all information under employee information.jpg and  tax information.jpg are all filled up properly and save the pages as well.

Step 6: After saving, please go to file generation.jpg, and then go to IR56F employee.jpg to view the information whether all displayed correctly, and will need to update the title in the page for each staff.

Step 7: After you have updated all the information required, please go to generate.jpg to generate the IR56F file for the staff.

Step 8: On the Tax Year field, this will show the Year of Assessment by default.

Step 9: On the Form/Export Type section, please choose the appropriate form you would like to generate:

  • IR56F Form – This is a copy of the IR56F form in PDF format, which can be provided to employees for their records. (For instructions on how to release the IR56F form to employees, please scroll to the bottom of this page.)
  • IR56F Export (XML) – This is the XML file generated for submission to the Inland Revenue Department (IRD).

Step 10: The ERN will already be filled out for you based on your company’s registration number in the system (This can be found on the Configuration page of the Payroll module)

Step 11: The Employee Selection is where you can indicate who you want to choose to be included in the file generation

Step 12: The field for the Name of Employer is greyed out and will automatically be filled in based on the information in the Configuration page of the Payroll module

Step 13: For the next two fields, Name of Authorized Person and Designation, please input the name and designation of the person authorized to generate the file.

Step 14: The Batch Date field, by default, will show the current date

Step 15: Once you have completed all the fields, click on the  submit.jpg button.

Step 16: If you are choosing the file type as IR56F, then after clicking on the submit button, scroll down and you will see the file generated for you:

To view the files that were successfully generated, click on the eye.jpg icon under the Action column. This is the page you will see next:

  • A. Click on theArrow.jpg icon to download and save the file on your computer. A PDF format of the IR56F is generated and you will be able to open and check it out.
  • B. Click on the relese.jpg button to either release only for that one user, or directly releasing the files to all the staffs.
  • C. Click on the delete.jpg button to delete the generated file for the user selected.

17. If you are choosing the file type as IR56F Export XML, after clicking on the submit button, scroll down and you will see the record as shown below image.

To view the XML file that was successfully generated, click on the eye.jpg icon under the Action column. This is the page you will see next:

  • Click on the Arrow.jpgicon to download and save the file on your computer. Please note: Do not rename and do not open the file you have downloaded.
  • Once the file has been downloaded successfully, you may proceed to perform submission on IR56F.
