How Group Admins Submit an Employee Timesheet

Overview

Group Administrators can submit timesheets on behalf of staff assigned to their group β€” including timesheets that cover future dates. Regular employees (non-admin users) do not have this capability and must submit their own timesheets through their personal accounts.

Before You Begin

  • You must be assigned as a Group Administrator in the Time Attendance module.
  • The staff member must belong to your assigned group.
  • The date range selected must be within a single month (31 days maximum).
  • At least one Approving Officer must be configured in the approval workflow.

Steps to Submit an Employee Timesheet

  1. Log in to your JustLogin account.
  2. Click on Apps menu icon and navigate to the Time Attendance section section.
  3. On the Administration page, click the Timesheet tab tab.
  4. Select the staff member's name from the drop-down list.

  5. Choose a preset period or set a custom date range.

    Note: The selected date range must be within a single calendar month β€” a maximum of 31 days. Future dates are supported.

  6. Select the Approving Officer from the drop-down.

    Note: If your organisation uses a two-level approval workflow, a Processing Officer field will also appear. The Processing Officer acts as the final approver once the Approving Officer has approved the timesheet.

  7. Click Search or Generate button to load the timesheet data.
  8. Review the staff member's Clock In and Clock Out records, along with the assigned Shift Name.

    Note: You may edit the following fields before submitting:

    • Shift Name β€” Changing this will automatically recalculate the Work Time.
    • Clock In / Clock Out times
    • Remarks β€” Add any relevant notes for the approver.

     

  9. Once you have reviewed and finalised all entries, click Submit button to submit the timesheet.

What Happens After Submission

Once submitted, the timesheet follows the configured approval workflow:

  1. The Approving Officer receives a notification to review and approve the timesheet.
  2. If a two-level approval is configured, the Processing Officer will receive it next for final approval.
