Setting Up Different Hourly Rate for Each Day of the Week and on a Public Holiday

Introduction

You can set different hourly rates for each day of the week, including Public Holidays. This feature will work best for Part-Timers and/or Hourly paid employees.

There will be three (3) parts in this guide from setup to transferring in Payroll:

  • Assign Employees to Employment Status as Temporary
  • Setup Hourly rate and Assign to the Employee
  • Process the hourly rate from Attendance to Payroll
  • Process the transferred data on Payroll

Part One (1) Assign Employees to the appropriate Employment Status

Step 1: Log-in to your account.

Step 2: Click on your name and choose mceclip0.png from the pop-up menu.

Step 3: You will be brought to the page where you can see a list of users in your system. Look for the name of the staff who is getting paid on an hourly basis, and click on the mceclip1.png icon on the rightmost side of the screen.

Step 4: In the employment status field, please indicate the following if:

Full-Time Employee:

Part-Time Employee:

Step 5: Click on mceclip3.png

Note: The employee needs to be a Payroll and Attendance User. The employment status is a requirement for this feature to work.

 

Part Two (2) Setup Hourly rate and Assign to the Employee

Step 1: Go to mceclip4.png

Step 2: Click on mceclip5.png

Step 3: Look for the mceclip6.png tab at the top and click on it

Step 4: Choose the mceclip7.pngsub-tab

Step 5: Indicate the different hourly rate for each day of the week (from Mon to Sun, as well as Public Holiday) and click on mceclip8.png

Example:

Step 4: To assign a rate code to an employee, click on the mceclip10.pngtab

Step 5: Identify the employee who is being paid the rate and click on the mceclip11.pngicon

Step 6: Assign the rate of the employee and click mceclip13.png

Part Three (3) Process the hourly rate from Attendance to Payroll

NOTE: Once the different hourly rate has been set up and assigned to the appropriate staff, any clock-in or clock-out done by the staff will be captured on the Attendance Module accordingly. The data then can be approved and transferred into the Payroll Module for processing. Step 3 will show how to transfer the information into Payroll.

Step 1: Click on mceclip0.png

Step 2: Go to the mceclip1.pngsection

Step 3: Click on the last tab, mceclip2.png

Step 4: For full-time employees, click on mceclip4.png For part-time employees, click on mceclip3.png (Make sure the Attendance Record / Employee Timesheet of the Employee has been approved.)

NOTE: The default date will be the 1st of the current month until today's date. You can use the filters as necessary:

For the period of coverage:

For the name of specific staff or department:

Step 5: After filtering, please click on mceclip6.png

Step 6: Put a tick beside the name/s of the staff that you will be transferring the data into Payroll and click on mceclip7.png

Step 7: Once you clicked on the Transfer to Payroll button, you will see this notification: mceclip8.png After the transfer has been completed, a notification will appear at the top of the page: mceclip9.png

Part Four (4) Process the transferred data on Payroll

NOTE:

For succeeding transfers, you will need to reset previous Actual Hours data so it will not add up. Please do this by doing the steps below:

Step 1: Go to mceclip19.pngtab

Step 2: Scroll down, look for mceclip20.pngor mceclip21.png buttons in the lower right corner of the screen and click on it.

Processing the transferred data on Payroll

Step 1: Please go to mceclip6.png

Step 2: Head over to mceclip7.png

Step 3: Then click on mceclip8.png tab at the top

Step 4: For Full-Timers click mceclip9.png and you will see the image similar to below:

To add the information into the staff's pay information, put a tick beside the name of the staff and click on mceclip14.png

For Part-Timers click mceclip10.png and you will see the image similar to below:

What can be done on Part-Timers' page:

  1. Clicking the mceclip15.pngicon will allow you to modify the hours worked in a day
  2. Clicking the mceclip16.pngicon will remove the employee's information and is irreversible. This cannot be transferred from the Attendance module to the Payroll module again.
  3. Clicking the mceclip17.png icon allows you to add other hourly paid employees and directly add the time information
  4. Click mceclip18.png after you have added the other hourly paid employee to show the total amount and directly transfer it for processing.

To add the data to your staff's pay information, go to mceclip22.pngtab. Please scroll down and click on mceclip23.png This will push the information to each employees' pay information and you can directly do a payrun.
